How We Plan Your Event

An initial consultation takes place with the potential client to discuss ideas on venue, marketing, menu, music, décor, theme, budget etc. We can point out aspects of planning and staging your event that you might not have considered.

After the consultation, we will present you with a draft proposal with an estimated fee for our services.

If you decide to engage our services, we will proceed to create a detailed plan with your input and approval. Third party vendors will be suggested and where possible estimated costs tabulated.

The next stage is to carry out the plan. Vendors and other service providers will be booked on your behalf, with your approval, and you'll be advised of final costs. (You'll be required to cover any up-front fees or deposits.) You will be kept up-to-date and consulted as the details are managed leading up to and during the event.

Report and follow-up is provided once the event is completed.

A few things to consider before we meet:

• What is the size/duration of the event and how many attendees are expected?
• Is the event to be held indoors or outdoors?
• Does the event have a theme which should be considered when decorating the venue?
• Will promotional material/invitations be required? How will these be sent out?
• Will an entry fee be charged? Who will collect it? Where will tickets be sold?
• Is the event to be staffed by volunteers? Will they require training?
• Is a meal to be served? Are caterers/concessioners required?
• Do you require the venue to have a food preparation/serving area?
• Will there be a speaker or performers or will there be a competition of any sort?
• Will music be required? Does the venue need to have a sound/PA system?
• Will parking be required? For how many vehicles?

Although this is by no means a complete list of all aspects of planning a typical event, you may not have the answers to these questions when we meet for the first time. As we go through the process of planning your event we will assess your needs, cover all the details and come up with solutions to all these pieces of the puzzle.
